Fax Solutions in the Cloud can be one of the dinosaurs in the communication media. For over 20 years, there is the e-mail, but older fax has not been killed. The success story of the often declared dead means of communication continues in the cloud. Cloud-based faxing makes the traditional fax machine obsolete and provides the connection to the digital world. Here we are presenting the basics of fax solutions from the cloud.

Fax Solutions in the Cloud : Fax scores against e-mail with legal certainty

After a study of fax communication service 70 percent of all the companies surveyed and it found that as many over 100 faxes per month still is used. Behind e-mail (99 percent) and analog telephony (86 percent), the fax is in third place of the communication means. Clearly Fax ranked behind newer channels of communication, such as IP telephony (51 percent), web conferencing (38 percent), video telephony (34 percent), chat (20 percent), and SMS (20 percent).

But, what are the reasons for the continued popularity of the fax? The most important reason is this : Unlike the e-mail, fax in a simple way where documents are protected and legally transferred properly in unaltered original form. This is necessary in many areas. In the health and legal, financial and real estate sector or personnel departments, there is no legally effective and safer way to send important documents in a timely manner, as on the fax way.

In many European countries and in North America and Asia, it is not legally allowed to transfer official documents by e-mail – but by fax. Health data about the U.S. may not be sent via the Internet, Austria and Switzerland, the lab report is still sent via fax to the doctor. The fax is therefore in the rapid transmission of important official documents remains the drug of choice and the digital formats such as e-mail and PDF, by default let their content to be manipulated. This is also reflected in the above study : scores the e-mail with costs and speed compared to the fax, the fax has its nose abobe at the security front. Respondents appreciate the e-mail to the fax when it comes about cost (88 percent), speed (86 percent). With the right security (72 percent), the detectability (66 percent) and IT security (56 percent), however, the fax cuts off better.

Fax Solutions in the Cloud : The trend is for faxing via the Cloud

The classic paper-based fax is no longer up to date. Because, despite its advantages, it is prone to errors and handling them is labor intensive and associated with high cost. There are particularly points which are disadvantageous in this age of digital communication, the interface problems and the resulting in media breaks. A fax document can be converted only with some effort into the digital format.

Many companies therefore now replace the fax machine through fax server or online services that are integrated into the digital communication network. According to the survey, there are 91 percent of the company, uses a computer-based fax solution, 76 percent work in multi-function devices with paper fax function and only 57 percent use traditional paper-based fax machines. 59 percent of the company’s computer-based fax is mainly used means to send faxes.  76 percent of the companies is also connected with the mail system, so that faxes can be sent and received similar like e-mails. Especially with the trend towards cloud computing development in the direction of online services has taken place lately. By the sending and receiving of faxes via the cloud may be the dusty fax bring the flexibility effortlessly with the e-mail record. This allows all security-related advantages of traditional, paper-based faxing connected with the convenience of e-mail communication and help to get more benefits.

Fax Solutions in the Cloud

Fax Solutions in the Cloud does not need any more to be compared with the e-mail in terms of cost, convenience and flexibility. Particularly benefit is to the smaller companies from the restriction of the budget. Only an Internet connection and an e-mail account is what required. E-mails can be sent directly as faxes, incoming faxes are sent as emails. Signed documents are transmitted, they are appended as a picture file in email, converted to fax format and therefore go to the recipient as a fax.

In this way, fax solutions in the cloud is much more flexible than the traditional method. Because cloud faxes can now be sent from anywhere with mobile devices such as smartphones and tabletst. This is much faster than the conventional fax. Transferring takes one minute per page, creating an online fax of multiple pages can be done at the same time. Another advantage is, the Cloud Fax over classic fax machines need no maintenance. It not only saves costs for the equipment and maintenance, but also consumption cost of paper, toner and ink.
